TERMS AND CONDITIONS

All delegate packages and hotel bookings are subject to the cancellation terms outlined below. By completing your booking, you agree to these conditions in full. No exceptions to the below stated policy will be made for cancellations requests due to the following:

  • Personal schedule changes
  • Travel disruptions
  • Medical circumstances
  • Visa issues

***Participants are strongly advised to obtain comprehensive travel insurance.

The Mahindra Kabira Festival is a destination cultural event requiring advance commitments to artists, venues, production partners, and hospitality providers. These cancellation terms allow us to maintain the highest standards of programming while offering reasonable flexibility to our early patrons.

1. The listed delegate package rate is a per/person rate

  • Rates are subject to change.
  • Room Rates are subject to revision due to the emerging Geopolitical situation.

2. Early Booking Protection for Delegate fees

To encourage early confirmation and provide booking flexibility, the following applies:

  • Delegate packages are 75% refundable on cancellation by or before the 31st of August, 2026.

3. Standard Booking Terms for Delegate fees

  • Delegate packages, on cancellation by or before the 4th of November 2026 are 25% refundable.
  • All delegate package cancellations received after the 4th of November 2026 are strictly non-refundable, regardless of booking date.
  • Hotel bookings are strictly non-refundable from the time of confirmation.

4. Hotel Bookings - Standard Booking Terms

  • Hotel bookings are strictly non-refundable from the time of confirmation.
  • Hotel rooms are transferable pending written approval by the Festival organisers.
  • No refund will be made on the hotel room should one person in a double occupancy booking not show up at the Festival.
  • Accommodation rates are standard across all hotels for both single/double occupancy.

5. Non-Transferability

Delegate packages are strictly non-transferable unless otherwise expressly approved in writing by the Festival organisers. Hotel rooms are transferable pending written approval by the Festival organisers.

6. Child Policy

  • Children ages 0-5 are eligible to attend all Festival events for free with an accompanying Delegate
  • Children ages 6 - 11 are eligible to attend at 50% of the listed package rate with an accompanying Delegate
  • Children ages 12 and above are eligible to attend at full price according to the listed rate

7. Festival Transport

  • Please note that ground transport will not be provided to and from hotels for attendees who have not booked with the Festival Partner hotels, they can check with their own hotels to provide the same transportation.

8. Attendee Behavior and Delegate Expectations

  • Heritage Walks are part of the package however it is important that all delegates register for the walks in advance in order to schedule your walk on a particular given day or time. This is mainly to help keep the group numbers of the walks limited at one given point.
  • Do note that the Festival is a SMOKE-FREE ZONE and also in keeping with the sanctity of the Holy Ghats, alcohol is strictly prohibited at the venues. Therefore, there will be no sale of cigarettes or alcohol at any venue.
  • Participation in the festival implies acceptance of our environmental policy, which promotes the use of reusable products, waste reduction, and responsible behaviour.
